Privacy notice: Christmas Prize Draw 2026

Redefined Media Ltd (company no. 16928459, 82a James Carter Road, Mildenhall, Suffolk IP28 7DE, United Kingdom) runs the Christmas Prize Draw across ePHOTOzine, BirdForum, Imaging Resource and Outdoor Photographer, and is the controller of the data collected through it.
What we collect
- Your name, email address and the country you say you live in.
- The country your connection comes from, which site and link you came through, and the time of your entry.
- A one-way scrambled copy of your IP address and a device cookie, used to stop duplicate and automated entries and to remember that your device has confirmed an email address.
- Whether you ticked the optional newsletter and sponsor boxes, and the exact wording you agreed to.
- If you win, your delivery address and phone number.
Why, and our legal basis
- To run the draw: confirm entries, prevent fraud, pick and contact winners and deliver prizes (necessary to run the draw you entered, and our legitimate interest in running it fairly).
- To add you to our newsletter list, or to pass your details to a sponsor, only if you tick those boxes (your consent). You can withdraw consent at any time using the unsubscribe link in any email or by emailing privacy@redefined.co.uk.
Who we share it with
- That day's sponsor: winners' names and delivery details, and the name, email and country of entrants who ticked that sponsor's box. The sponsor then uses your details under its own privacy policy, linked on the day's page.
- Service providers that host the draw and send our emails (Cloudflare and Amazon Web Services), under contract and only on our instructions.
- We never sell your data.
International transfers
Some of our service providers and some sponsors are based outside the UK, for example in the European Union or the United States. Where your data is sent outside the UK, we rely on UK adequacy regulations or on the UK's approved contract terms (the International Data Transfer Agreement or Addendum) to protect it.
How long we keep it
- Entry records, device records and the email log are deleted by 30 June 2027 (six months after the draw closes).
- Winners' delivery details are deleted at the same time, once prizes have been delivered.
- If you asked to receive our newsletter, we keep your name, email and country on our newsletter list until you unsubscribe.
Your rights
You can ask to see, correct or delete your data, object to how we use it, or withdraw consent, by emailing privacy@redefined.co.uk. If you are unhappy with how we handle your data, you can complain to the UK Information Commissioner's Office (ico.org.uk) or to the data protection authority where you live.
